Privacy policy

This Privacy Policy explains how Flexography Printing Co, operated by Astros Marketing (Pty) Ltd, handles personal information in line with the Protection of Personal Information Act. It applies to enquiries, quotations, orders, artwork files, delivery arrangements and related business communication.

1. Who we are and what this policy covers

Flexography Printing Co is based in Pinetown, KwaZulu-Natal and provides flexo printed flexible packaging for businesses across South Africa. This policy applies when you contact us through our enquiry form, request a quotation, submit artwork, place an order, or ask for support with pouches, sachets and wraps.

For POPIA purposes, we are the responsible party for the personal information we collect in the course of operating our business. This includes information supplied by customers, suppliers, logistics partners and other contacts involved in the production and delivery of packaging orders.

2. Information we collect for quotations and production

We only collect information that is reasonably needed to manage enquiries, process orders and arrange production or delivery. Depending on your interaction with us, this may include your name, company details, contact information, delivery address, invoice details and communication records.

  • Contact details supplied through the enquiry form or during follow up conversations
  • Artwork files, product specifications and print instructions
  • Delivery details for dispatch to Durban, Johannesburg, Pretoria, Cape Town, Bloemfontein and other areas
  • Records of approvals, proofs, changes and order history

We may also keep technical logs linked to website enquiries for security and troubleshooting purposes.

3. How we use your personal information

Your information is used to respond to enquiries, prepare quotations, confirm production details, complete artwork prep and print proofing, and coordinate dispatch. We may also use your details to manage repeat production requests and keep you informed about your order status.

In practice, this may involve sharing information internally between our sales, production, prepress, logistics and client service teams. For example, Priya Naicker may handle sales queries while Jason Petersen manages artwork checks and Lerato Molefe coordinates delivery notes, all within the scope of the order.

  • Preparing and issuing quotations
  • Managing print specifications and proof approvals
  • Coordinating production, packing and delivery
  • Keeping accurate business records for invoicing and service support

4. Sharing information with service providers

We may share personal information with trusted service providers only where it is necessary for business operations. This can include delivery partners, printing related service providers, IT support services and payment or accounting support where required.

We do not sell personal information. Where information is shared, it is limited to what is needed for the task and handled on a confidential basis. We expect third parties to protect the information they receive and to use it only for the agreed purpose.

If law requires disclosure, or if a lawful request is made by a competent authority, we may provide the information requested. We will only disclose what is necessary and permitted by law.

5. Security, retention and practical safeguards

We take reasonable steps to protect personal information against loss, unauthorised access, misuse or alteration. This includes limiting access to business records, managing user permissions and storing information in a controlled manner. Where relevant, we also keep printed and electronic records secure during production and dispatch.

Retention periods depend on the type of record and the reason it was collected. We keep information only for as long as is needed for operational, legal or accounting purposes, and then dispose of it securely. In a business environment affected by load-shedding and local disruptions, we still apply practical steps to protect data and maintain continuity where possible.

  • Access is restricted to staff who need the information for their work
  • Records are kept for lawful business, tax and service reasons
  • Old records are removed or destroyed when no longer required

6. Your rights under POPIA

You may ask us to confirm whether we hold your personal information, request access to it, ask for correction of inaccurate details, or object to certain processing where the law allows. You may also withdraw consent where processing is based on consent, subject to any legal or contractual limits.

To protect your privacy, we may need to verify your identity before acting on a request. We will handle each request in a fair and reasonable way, and within the timeframes allowed by law. If your business contact details change, it helps to let us know promptly so order communication and dispatch details stay accurate.

By continuing to engage with us for packaging enquiries, artwork approvals or delivery arrangements, you acknowledge this policy and the way personal information is processed for normal business operations.
